What is it?

WebFile for Business is the Massachusetts Department of Revenue (MA DOR) on-line service division which allows taxpayers, business and individuals, the ability to register their business, file and pay taxes. Taxpayers can file current tax period taxes, as well as late returns and make late payments. Taxpayers can also research, update, amend and maintain their tax accounts with the MA DOR 24 hours a day, 7 days a week.

Who is required to use it?

Currently, businesses that collect trustee taxes (withholding, meals and/or sales and use) and have a combined liability of $10,000 or more must file and pay these taxes electronically. Also, all new businesses must use WebFile for Business to register for withholding tax, sales and use tax and sales tax on meals. These businesses are required to file and pay these taxes via WebFile for Business.

In addition, all zero balance due business returns must be filed via WebFile for Business.

Instructions for Registering

  1. Go to the Massachusetts Department of Revenue website: http://www.dor.state.ma.us

  2. Click the "For Businesses Tab" and then WebFile for Business.

  3. Under "I want to…." On the left hand side of the screen, go to Register.

  4. Select I am registering to file and pay taxes for my company only.

  5. If the business is already registered with the DOR and is currently filing and paying taxes by paper form, select that the business is registered with MA DOR to file/pay taxes and you now wish to register business to file/pay electronically.

  6. Registration Form

    a.   Must put in the tax identification number of the organization.

    b.   Legal name of the organization.

    c.   Legal address.

    d.   Tax types for which you are registering for. (i.e. sales / meals / withholdings / corporate excise, etc.)

    e.   Personal information. Type in the name of the owner of the company in this area. You need the title, social security #, first name, last name, phone number and e-mail address of the owner. The social security number is used only for security purposes to establish that this individual is associated with this business.

    f.   Login information. You must select a user name and password for this account. The user name is not restricted, but the password must contain between 8-15 characters and must contain at least one capital letter, one lower case letter and at least one number at the end of the password. (i.e. Register8). Passwords are case sensitive upon entering the system after approval. You must also select a secret question and secret answer for security purposes.

    g.   Register for EFT-Debit payments. This is optional, but has worked quite well in the past, as long as you do not pay on the due date of the return. You must select the account type (checking or savings), bank name, routing # and account # from the account type you selected.

    h.   Check the box at the bottom of the form "I agree" and hit "submit."

  7. Once this is complete, the registration form is submitted to the MA DOR and it usually takes between 24 and 48 hours to get approval to use WebFile for Business. The e-mail address entered above will receive a confirmation from the MA DOR and after you receive that confirmation, you can begin to use WebFile for Business. Enter your user name and password in the login screen and then select the type of taxes you are filing and/or paying. Be careful of which month/period you select, as the website usually lists the current month/period first and taxpayers have a tendency to select the first period they see, which is usually not the correct filing period.
